What business booking software does

It holds a bookable calendar for every first appointment, tour, session and staff member you run, lets customers book into it from a link, enforces capacity and buffers, and reminds everyone beforehand so fewer people forget to turn up.

Out of the box

Ten calendars, ready on day one

Configured during onboarding around your actual timetable, not left as a blank calendar for you to fill in.

First-appointment booking - 45 minutes, round-robin

Distributed across whoever is on the front desk, so no single person becomes the bottleneck and no slot is double-sold.

Business tour - 30 minutes

Shorter, lower commitment, and a useful step for the prospect who is not ready to train yet but will walk around.

One-to-one sessions - one calendar per staff member

Six staff member calendars as standard, each with their own hours, buffers and availability. Clients book with the person they know.

Session booking with capacity limits

A sixteen-person session stops accepting bookings at sixteen. The next person joins the waitlist instead of turning up to a full room.

Consultation and goal setting

The thirty-minute conversation that turns a new customer into one who still trains in month four.

Plus your own

Assessments, physio slots, nutrition consultations, kids sessions - any bookable thing your business runs.

Access

How customers book

A link sent over WhatsApp

The most-used route by a distance. The AI agent sends the right calendar for what the customer asked about, pre-filtered to their branch.

Your website or schedule page

An embedded booking page on your own domain, so a prospect who found you through search can book without messaging anyone.

Booked in by the front desk

For the walk-in and the customer who prefers to arrange things in person. Same calendar, same reminders, same tracking.

No-shows

Reminders that cut no-shows

A no-show costs you a staff member hour and a slot another customer wanted. Three touches, each with a different job.

24h

24 hours before - confirm or reschedule

Far enough out that the slot can be resold if they cancel. The message makes rescheduling one tap, because a reschedule is worth far more than a silent no-show.

1h

1 hour before - a short nudge

Location, staff member name and what to bring. Short, because a long message an hour before an appointment does not get read.

!

After a no-show - flagged, and a task to rebook

Marked by your staff, which flags the record and raises a rebooking task the same day. Repeat no-shows become visible as a pattern rather than a series of separate annoyances.

A real constraint, stated plainly. Date-driven actions run at 08:00 in the business’s local time. A reminder tied to a date - a renewal, an expiry, a dormancy check - goes out in that morning batch, not at an arbitrary hour you choose. Reminders tied to an appointment time (24 hours and 1 hour before) do fire relative to the booking.

Control

Capacity, buffers and staff member assignment

  • Hard capacity per session, with a waitlist that promotes automatically when someone cancels
  • Buffers between sessions, so a staff member is not booked back-to-back across two locations
  • Working hours, days off and holiday per staff member, honoured by the booking link
  • Round-robin assignment for first appointments, so the load spreads across the front desk
  • Minimum notice for booking and for cancelling, set per calendar
Multi-site

Booking across more than one branch

Each branch has its own calendars, staff and opening hours. A customer booking from the Salmiya link sees Salmiya slots, and the confirmation carries the Salmiya address.

For a customer with access to every branch, the booking page can show all locations with the branch named on each slot - which prevents the most common multi-site support ticket there is: someone turning up at the wrong business.

Owner-level reporting rolls all of it together, so you can see which branch is filling its sessions and which is running half-empty at peak.

Questions

Frequently asked questions

Can customers cancel or reschedule themselves?

Yes, from the confirmation message, subject to whatever minimum notice you set per calendar. Self-service rescheduling recovers slots that would otherwise be silent no-shows.

What happens when a session is full?

Booking closes at your capacity limit and the next customer joins a waitlist. If someone cancels, the first person on the waitlist is offered the place automatically.

Can we set different hours per staff member?

Yes. Each staff member calendar carries its own working hours, days off, session length and buffers.

Does it sync with Google Calendar?

Staff member calendars can be connected so personal commitments block out availability, which is the main cause of double-booking in businesses that run one-to-one sessions.

Can a customer book without WhatsApp?

Yes. The booking page works on your website, and your front desk can book anyone in directly.
