Membership businesses

Membership management software for Kuwait businesses

Recurring plans, renewal dates and customers who go quiet. A business selling memberships does not have a software problem in one place - it has the same problem every month, for every customer on the list.

The difference

What a full-size business needs that a business does not

A small business can hold its whole plan in one person’s head. At four hundred customers that stops being possible, and the failures change shape.

Volume, not attention

Thirty enquiries a day cannot each get a thoughtful personal reply within the hour. They can each get an accurate one within a minute, and the four that need a person can be flagged.

Roles, not trust

With twelve staff across three shifts, "everyone can see everything" stops being simplicity and starts being a data risk. Permission sets do the work goodwill used to.

Numbers, not instinct

A business owner knows who has stopped coming. At four hundred customers nobody knows, and by the time it shows up in renewals it is a quarter too late.

Enquiries

High enquiry volume, one inbox

Every channel in one thread per customer

WhatsApp, web chat, Instagram and email collapse into a single conversation on the customer record. Whoever picks it up sees everything said before, including by the colleague who left at four.

Nothing sitting unanswered overnight

The AI agent answers the price, timing and session questions immediately, at any hour. The morning shift arrives to a handful of genuine callbacks rather than sixty unread messages.

Team

Front desk, sales and owner - three different views

RoleWhat they work fromWhat they cannot reach
Front deskToday’s bookings, arrivals, walk-in entry, their assigned conversationsFull customer export, revenue reporting, configuration
SalesThe lead-to-customer pipeline, their own contacts, first appointment follow-up tasksWhole-database export, staff permissions, plan pricing

Peak hours

Peak-hour sessions with real capacity limits

  • A session stops taking bookings at its limit, rather than overselling and sorting it out at the door
  • The waitlist promotes automatically when someone cancels, so the room stays full
  • Customers see remaining capacity before they book, which redistributes demand off the 6pm slot on its own
  • No-shows on a full session are flagged, because a no-show on a waitlisted session costs a paying customer their place
Staff

Six staff, six calendars, no double-booking

Each staff member gets their own calendar with their own hours, days off and buffers between sessions. A customer books with the staff member they know, not with a generic service work slot that someone has to reassign.

Because availability is real rather than approximate, the classic failure disappears: two people booking the same staff member for 7pm, discovered at 6:55pm by whoever is on the desk.

Staff member calendars can also be connected to a personal calendar, so an outside commitment blocks the slot automatically instead of relying on the staff member to remember to tell reception.

Scale

Retention when you have hundreds of customers

This is where automation stops being a convenience and starts being the only option.

30d

when a quiet customer is first noticed

4

renewal touches before expiry

3

win-back attempts, then it stops

180d

when a dead contact is written off

At four hundred customers, roughly a dozen go quiet every month and nobody notices any individual one. Detecting that at thirty days rather than at renewal is the difference between a check-in message and a lost plan. Retention at scale in a large business.

Onboarding

Getting set up

1

Onboarding intake

We learn how your business actually runs: plans, prices, timings, sessions, staff, branches, who does what on each shift.

2

Existing customer list imported

Spreadsheet, export or paper. Plans, expiry dates and branches mapped so the automations start from correct data rather than guesses.

3

Staff trained, then live

Training focuses on the four fields that matter, because a large team is exactly where those fields go stale first.

Questions

Frequently asked questions

We have over 500 customers. Is there a limit?

No practical limit on customer count. What changes with size is the configuration work at onboarding and how hard we push on staff training, because large teams are where record-keeping slips.

Can different staff have different access?

Yes - owner, admin, sales and front desk, set per user, and a user can be restricted to only their own contacts.

How long does importing our customers take?

Usually a few days from receiving a clean list, longer if we are keying in paper forms. It happens before go-live, not after.

Do you handle access control or turnstiles?

No. Door hardware and access control are outside what Ragnos AI does. It manages the customer relationship, not the physical entrance.

What if we open a second branch later?

Branches are added to the same account with their own calendars, pricing and staff. See the multi-branch page for how it works and how it affects price.
