The four things your team must keep updated
Everything else runs itself. These four fields are what the automations read, so if they go stale the automations go wrong - and you should know that before you buy, not after.
Payment status when someone pays
Because there is no card-on-file auto-charge in Kuwait, a human marks a payment received. This is the single most important field in the account.
Last visit date
Dormancy detection reads this field. Without it, the win-back sequences cannot tell an active customer from one who stopped coming in March.
Plan expiry date
Set when the plan is sold and updated on renewal. It drives the entire renewal ladder at 30, 15, 7 and 3 days out.
Marking appointments showed or no-show
One click after the session. It feeds first appointment conversion reporting and triggers the rebooking task for a no-show.
Frequently asked questions
Can we import our existing customer list?
Yes. Spreadsheet, an export from another system, or paper forms we key in. Plans, expiry dates, branches and phone numbers are mapped before you go live so the automations start from correct data.
How many staff logins do we get?
As many as your business needs, at the permission level you choose. Extra logins are not an upsell - a front desk that shares one account is a security problem, not a saving.
Can a staff member see only their own clients?
Yes. A user can be restricted to contacts assigned to them, which is the usual setup for independent staff and anywhere customers expect discretion.
What happens to a customer record if someone leaves the business?
It stays, marked expired, and moves through the win-back pipeline. At 180 days without a response it is written off - kept for your records but excluded from active customer counts so your retention reporting stays honest.
Is the interface in Arabic?
The staff interface is English. Customer-facing messages, forms and keyword replies run in Arabic and English. Arabic staff UI is a phase two item.
Can we see who on the team did what?
Yes. Notes, status changes and messages are attributed to the user who made them, with a timestamp, on the customer record.
