WhatsApp automation for businesses - an AI agent that answers in seconds
Your business gets asked the same forty questions every week, and most of them arrive after closing. The Ragnos AI agent answers them on WhatsApp in English or Arabic, books the first appointment, and hands the conversation to your team the moment a human is actually needed.

What WhatsApp automation for businesses actually does
It answers customer and prospect messages on WhatsApp automatically, using your business’s real prices, timings and session schedule. It books first appointments into your calendar, sends renewal and reminder messages, and escalates to a person when the question needs one.
A reply within 60 seconds, day or night
Most business enquiries in Kuwait arrive between 8pm and midnight, when the front desk has gone home. By the morning the person has messaged three other businesses.
Why the first hour decides whether they join
A prospect messaging a business at 11pm is not comparing facilities. They are comparing who replied. In our own accounts the enquiries that get an answer inside the hour are the ones that turn into booked appointments - and the ones that wait until morning mostly do not answer back.
- The agent replies immediately, at any hour, on the number the customer already messages you on
- It answers from your business’s knowledge base, not a generic script
- If it cannot answer, it says so and raises a task for your team instead of guessing
- Every message stays on the customer record in the CRM
What the AI agent can answer
Built from your business’s own answers during onboarding, so it never invents a price or a session time.
Plans and pricing
Every plan, signup fee, family and corporate rate, and what is included at each level - quoted in KWD.
Timings, branches and parking
Opening hours by day, any restricted hours, location addresses, parking and how to find the entrance.
Sessions, staff and facilities
This week’s schedule, which staff member takes what, and whether you have parking, accessibility or anything else on site.
Bookings, reschedules and cancellations
Sends the booking link, confirms the slot, moves an appointment and cancels one - all inside the chat.
Renewals and current offers
When a plan expires, what renewing costs, and any offer running this month.
Anything else - to a human
Complaints, medical questions, refunds and negotiations go straight to your team with the full thread attached.
Keyword replies in English and Arabic
A customer does not have to phrase anything correctly. One word gets the right response, in either language, instantly.
BOOK - sends the booking link
Also triggers on تجربة and on common misspellings. The link is pre-filtered to the branch the customer asked about.
PRICE - sends current plans
Pulled live from your plan configuration, so a price change on Sunday is reflected in Sunday’s replies. Also triggers on سعر.
CLASS - sends this week’s schedule
The current timetable with capacity remaining, so nobody turns up to a full session. Also triggers on حصة.
STOP - opts the customer out, immediately
No confirmation loop, no retention attempt. The contact is marked opted-out across every sequence in the account within seconds.
Arabic replies are written by people, in natural Kuwaiti phrasing, and reviewed with you during onboarding. They are not machine translations of the English - a translated marketing message reads as foreign, and customers treat it as spam.
When it hands over to a human
An agent that will not admit its limits costs you more customers than one that answers fewer questions.
- The customer asks something outside the knowledge base - it says so rather than guessing
- The message mentions an injury, a medical condition or anything health-related
- The customer asks for a refund, a freeze, a discount or a complaint is raised
- The customer asks for a human, in any phrasing, in either language
- The same question comes back twice - a sign the answer did not land
On handover the conversation moves into the unified inbox with the full thread, the customer record and a task assigned to whoever is on shift. Nothing restarts from zero, and the customer never repeats themselves.
How it is set up for your business
Four steps, run by us during onboarding. You supply the answers; we build and test it.
Meta Business verification
Your business is verified with Meta so the WhatsApp Business Platform can be used on your own number. This is the step with an external dependency, and it is the one that sets the go-live date.
Your WhatsApp number connected
The number your customers already have. No new number to publicise, no forwarding, and your existing chat history stays where it is.
Knowledge base built from your business’s real answers
Prices, timings, sessions, staff, facilities, policies. We interview you for these rather than guessing, and you sign off every answer before it goes live.
Message templates submitted and approved
Anything sent outside the 24-hour window has to be an approved template. We write them, submit them to Meta and handle rejections.
What WhatsApp automation cannot do
These are platform rules set by Meta, not Ragnos AI settings. Any vendor telling you otherwise is describing a policy violation.
It cannot message people who have not messaged you
There is no cold outreach on WhatsApp. Contacts have to opt in, or have contacted you first. Buying a list and blasting it will get your number banned.
Outside 24 hours, only approved templates
Once a customer has been quiet for 24 hours you can only send a pre-approved template message, not free text. Renewal and win-back messages are built as templates for exactly this reason.
Templates need Meta approval, and can be rejected
Approval usually takes hours but occasionally takes days, and promotional wording gets rejected more often. We write and resubmit them; it is part of the service, not an extra.
Go-live depends on Meta verification
Until your business verification clears, the agent cannot go live on your number. Everything else in Ragnos AI runs meanwhile, with the first reply arriving by email and a staff task instead.
Frequently asked questions
Is this a chatbot with buttons, or a real AI agent?
A real agent. It reads what the customer wrote, in Arabic or English, in whatever phrasing they used, and answers from your business’s knowledge base. Keyword shortcuts like first appointment and PRICE exist on top of that for people who want the fast path.
Will it invent prices or session times?
It answers from the knowledge base built during onboarding, and it is instructed to say it does not know rather than guess. Questions it cannot answer become a task for your team, so you see the gap and we add the answer.
Do we need a new WhatsApp number?
No. It connects to the number your customers already message. Once connected, that number moves onto the WhatsApp Business Platform, which is what makes automation possible.
How good is the Arabic?
Written by people in natural Kuwaiti phrasing, then reviewed with you before launch. It is not the English text run through a translation engine, which is what makes most bilingual business messaging read as spam.
Can customers opt out?
Yes, instantly. Sending STOP - or the Arabic equivalent - marks the contact opted-out across every sequence in the account within seconds. There is no retention attempt and no confirmation loop.
What happens when Meta verification is still pending?
The rest of the platform runs normally. The first reply to a new lead goes out by email and a task is raised for your front desk to call. When verification clears we switch the WhatsApp path on, and the sequences already built start running.
Does it work on WhatsApp groups?
No, and deliberately. Group broadcasts expose customers to each other, which matters a great deal where customers expect discretion. Everything here is one-to-one.
