Small businesses

Small business CRM for a team already stretched

Two people running a business carry exactly the same admin as a company with twelve staff - the bookings, the reminders, the follow-ups, the renewals - only there is nobody to hand any of it to.

The real problem

A small team carries the same admin load

It is not that a business has less work. It is that the same work lands on two people who are also teaching.

The instructor who just finished the 7am session is the same person who has to answer the enquiry that came in at 11pm, chase the pack that expires on Thursday, fill the cancellation from the waitlist, and remember that the customer who has not been in for a month used to come three times a week.

None of that is difficult. All of it is relentless, and it is what gets dropped first when a session runs late - which is why businesses lose customers quietly rather than dramatically.

Scheduling

Session-first scheduling

Capacity limits and waitlists

A twelve-space session takes twelve bookings. Thirteen joins the waitlist and is offered the place automatically the moment someone drops out - usually within minutes, and without you seeing the cancellation at all.

Recurring weekly timetables

Set the week once and it repeats. Changing a Tuesday slot for one week does not mean rebuilding the schedule, and customers booked into the moved session are told automatically.

Packs

Session packs and credits

  • Packs of 5, 10 or 20 sessions with their own price and expiry window
  • Sessions used and sessions remaining visible on the customer record and to the customer
  • A reminder when a pack is nearly used up - the best moment to sell the next one
  • A reminder before a pack expires, because an expired unused pack is a complaint waiting to happen

Being precise about this one. Packs are handled today through plans with a session count and expiry, driven by custom values - not through a dedicated credits ledger. The behaviour above is what you get. We describe it that way rather than calling it a "credits system", because the distinction matters if you are comparing feature lists.

Retention

Keeping a small customer base loyal

When one customer leaving actually hurts

At eighty customers, losing four in a month is five percent of your revenue and it is noticeable in the room. The thirty-day dormancy check-in matters more here than anywhere, because you can still fix it with a personal message.

Referrals inside a tight community

small customers recruit their friends, and they do it more when asked at the right moment - after a good session, at the anniversary, not in a mass email. Referrals are tracked to the customer who made them so the reward is automatic.

Reputation

Reviews matter more when you are small

A large business with four hundred reviews absorbs a bad one. A business with eleven does not - one two-star review sits on the first screen of your listing for a year and every prospect reads it.

The NPS flow asks customers how they are finding the business at sensible intervals, invites the happy ones to review publicly, and routes an unhappy answer to you the same day, while it is still a conversation rather than a public post.

Cost

Priced for a business, not a chain

Price follows branch count, calendars, whether the WhatsApp AI agent is enabled and your support tier. A single-site business with three instructors is not paying for a three-branch build. Pricing for a single-site business.

Questions

Frequently asked questions

We only have 60 customers. Is this too much software?

It is worth asking honestly. If your admin currently takes under two hours a week and nothing is being dropped, you may not need this yet. If enquiries go unanswered overnight or packs expire unnoticed, the size of your customer base is not the deciding factor.

Can customers book from Instagram?

Yes. An Instagram DM or a lead-ad submission becomes a contact and receives the booking link, in the same flow as any other enquiry.

Do you support session packs?

Yes, as plans with a session count and expiry, with reminders when a pack is nearly used or about to expire. It is not a separate credits ledger - see the note above.

What if I teach and run the business myself?

That is the common case here. The automations exist so the enquiry that arrives while you are teaching still gets answered, and the follow-up still happens on Thursday.

Can I run this alongside a booking app customers already use?

Technically yes, but two systems holding attendance means neither is accurate, and every automation here depends on attendance being right. We would rather talk you out of it than have you blame the automations.
